Salary:  44161€ Annual Gross salary (paid in 13 months instalments of 3397€)

Please note this is a security-designated position. The selected candidate will be required to successfully complete a security assessment to the NV1 level.

Applicants must be a national of Australia, New-Zealand, America, Canada, or United Kingdom to be eligible for an Australian Government security clearance. Persons holding dual French nationality with one of the above nationalities would not be eligible for a security clearance for this position.

 For non-EU citizens a valid authorisation of work in France (titre de séjour avec authorisation de travail salarié) is essential. 

About the Department of Foreign Affairs and Trade

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, multilateral, and bilateral interests.

About the position

The Executive Assistant and Research Officer manages the office and provides administrative and organisational support to the Ambassador to UNESCO / Deputy Head of Mission (DHOM) / non-resident Ambassador to Chad and to senior officers in the UNESCO Delegation and Australian Embassy (as needed). The position also provides some research support to the UNESCO Delegation, including writing short summary reports and drafting official communications in support of Australia’s key interests at UNESCO.

The key responsibilities of the position include, but are not limited to:

  • Provide high-quality organisational and administrative support to the Ambassador to UNESCO, Deputy Head of Mission (DHOM), non-resident Ambassador to Chad and the wider political section, including management of daily program, mail, official appointments and support for visitors to the Ambassador / DHOM's Office.
  • Prepare and manage the Ambassador / DHOM's schedule of appointments. Assist in drafting official correspondence and organising meetings and official functions hosted by the Ambassador / DHOM and UNESCO Delegation.
  • Ensure effective communication flow to and from the Ambassador / DHOM’s Office, including with officials from UNESCO; government ministries in France and Chad; other diplomatic missions; Australian government departments; and colleagues in the Australian Paris (UNESCO, bilateral and OECD).
  • Assist the Ambassador / DHOM by preparing summary reports and briefings as required. This can involve drafting official correspondence, preparing background information on key topics of interest and liaising with UNESCO, other Delegations and team members to clarify information, summarise key points and make recommendations to inform decision making.
  • Organise visit programmes for senior Australian officials and assist with the preparation and organisation of ministerial visits.
  • Manage the administration of the budget for the Delegation, as well as the Ambassador / DHOM's representational funds, other financial tasks and acquittals, to ensure timely and effective financial management.
  • Arrange meetings, lunches and other official functions, including liaising with caterers and suppliers.
  • Support official travel for the Ambassador / DHOM and other staff (as needed), including facilitating financial acquittals in a timely fashion.
  • Assist with public diplomacy events, as required.
  • Serve as back-up to EA to the Ambassador to France.

General Requirements

  • Superior written and oral communication skills, with fluency in French and English.
  • Ability to work effectively and harmoniously in a small and busy team.
  • Flexibility, initiative and excellent interpersonal and liaison skills.  
  • Demonstrated experience and proven ability in the provision of high-level administrative support to a senior executive.
  • Demonstrated ability to prepare summary reports and senior executive level correspondence.
  • Demonstrated ability to undertake tasks with minimal supervision, set priorities and meet deadlines.
  • Ability to function effectively in a position of trust.

Selection Criteria

In your written statements, you must include succinct, high-level relevant examples that support your claims against the role. The word limit is strictly 250 words per response. At least one of the responses should be provided in French.

A. Demonstrate your ability to undertake a high level of executive administration with high degrees of autonomy and professionalism (including management of HOM`s diary, advisory duties, event coordination and use of Microsoft Office Suite).

B. Strong organisational skills, attention to detail and the ability to manage competing priorities with minimal supervision in a demanding environment.

C. Proven ability to provide accurate and timely research and reporting with a demonstrated ability to set priorities, show initiative, exercise sound judgement, meet tight deadlines and achieve results.

D. Ability to communicate both written and orally in French and English and work effectively across all organisational levels to build strong relationships with stakeholders

E. Demonstrate good understanding and awareness of the French Government structures, contacts and protocol activities.
